Aibo — Terms of Use

Multi-tenant note: Aibo is a multi-tenant platform. If you use Aibo through your employer (your “Company” / “Tenant”), your Company may have additional policies and may be the Data Controller for work-order data.


1) Agreement to these Terms

These Terms of Use (“Terms”) govern access to and use of Aibo (the “App”) and any related web portals, APIs, and services (collectively, the “Service”).

The broader Aibo ecosystem may include Provider-operated web services for tenant provisioning, subscription administration, licensing, billing, invoices/receipts, and support ticketing. Additional commercial or support terms may apply to those workflows.

By installing, accessing, or using the Service, you confirm that:

  • you have read and understood these Terms, and
  • you agree to be bound by them.

If you are using the Service on behalf of a company (your “Company” / “Tenant”), your Company may have additional internal policies, work rules, or a separate contract with the Provider. In case of conflict, the Company’s contract/policies may apply for that tenant.


2) Who may use the Service

The Service is intended for authorized business users and, where enabled, individual Personal workspace users. You may use the Service only if you are:

  • an employee/contractor of a Company that is authorized to use the Service,
  • an individual Personal workspace owner who created an account through an approved Aibo flow, or
  • a customer representative who is invited to view or sign service documentation (e.g., proof-of-service).

You must be at least 18 years old to use the Service.


3) Accounts, authentication, and security

  • Accounts may be created and managed by the Company, the individual workspace owner, or the Provider (as applicable), including through Aibo administration services.
  • You are responsible for keeping your login credentials confidential.
  • You must not share accounts or impersonate others.
  • If you suspect unauthorized access, notify your supervisor or the Provider promptly.

4) Permitted use and acceptable use

You may use the Service only for legitimate business purposes related to software-managed operations (dispatch, work orders, evidence, reporting, billing support, etc.).

You agree not to:

  • use the Service for unlawful purposes,
  • upload content that infringes third-party rights or violates privacy,
  • attempt to access accounts, data, or systems without authorization,
  • reverse engineer, disrupt, or interfere with the Service,
  • upload malware or attempt to bypass security.

5) Work orders, evidence, and user content

The Service may allow you to submit or upload information including:

  • service activities and checklists,
  • materials/parts used,
  • notes and recommendations,
  • photos and documents,
  • customer signatures (proof-of-service).

You represent that you will upload only work-related information and will avoid unnecessary personal data.

Ownership (Tenant data): As between you and your Company, work order data and evidence generated in the Service is typically Company information (“Service Data”). The Company is responsible for deciding how Service Data is used and shared.


6) Customer signatures / proof-of-service

When the Service captures a customer signature, it is intended as proof that the service was performed or reviewed.

The person signing should be informed, in context, that the signature will be stored as part of the service record.


7) Availability, connectivity, and limitations

The Service depends on internet connectivity, device permissions, and third-party services. The Provider does not guarantee uninterrupted availability. Features such as assigned route assist, GPS route history, optional AI assistance, or voice transcription may be limited by device settings, OS restrictions, third-party services, or lack of signal.


7.1 Operational notifications (push/email)

The Service may send you operational communications such as:

  • push notifications (for example, job assignments, status reminders, safety/operational alerts), and
  • emails (for example, account or service notifications).

You can usually control push notifications through your device settings. Disabling notifications may reduce functionality or delay job execution.

7.2 Optional AI assistance and voice input

The Service may include optional AI-assisted drafting or troubleshooting features (for example, Ludo) for work logs and service notes.

If you use these features:

  • prompts may include the current task, equipment, work-log, and related service context needed to generate a draft or suggestion,
  • voice input uses your device microphone only when you intentionally start recording inside the feature, and
  • you remain responsible for reviewing, editing, and confirming generated text before saving, submitting, or sharing it.

AI-generated content may be incomplete or inaccurate and is provided as an assistive tool, not as a substitute for professional judgment, safety procedures, or supervisor review.

7.3 Subscriptions, licensing, billing, and support administration

If your Company/Tenant purchases or manages a paid subscription through the Provider’s Aibo web administration portal, a written order, or an approved checkout flow, additional terms may apply, including the Subscription & Billing Terms shown at checkout, in the Aibo portal, or otherwise provided by the Provider.

The Aibo web administration services may be used for tenant provisioning, user administration, license/seat management, subscription checkout, billing administration, invoices/receipts, and support ticket handling.

Where Personal plans or add-ons are offered inside the mobile app, purchases are completed through the applicable store platform and activated only after server-side validation. Business and Enterprise plans are purchased or managed through the Aibo web administration services, an approved secure checkout, or a written agreement.

Payment processing: Payments are processed by the authorized payment provider or app store shown at checkout or on the receipt. The Provider does not store full payment card numbers or CVV in Aibo. The payment provider’s terms and privacy practices may also apply to payment transactions.

8) Privacy and data protection

Your use of the Service is also governed by the Aibo Privacy Policy, which explains what data is collected, why it is used, and your rights across the Aibo app, web administration, billing, and support services.

If you use the Service via a Company (Tenant), your Company may also provide internal policies or notices that apply.


9) Suspension and termination

The Company or the Provider may suspend or terminate access to the Service:

  • if you violate these Terms or Company policies,
  • to protect security or service integrity,
  • when your employment/assignment ends or access is no longer needed.

10) Intellectual property

The Service, including its software, design, text, and trademarks, is owned by the Provider or its licensors and is protected by applicable intellectual property laws.

No rights are granted except as expressly stated in these Terms.


11) Disclaimers

To the maximum extent permitted by law, the Service is provided “as is” and “as available”. The Provider disclaims warranties of merchantability, fitness for a particular purpose, and non-infringement.


12) Limitation of liability

To the maximum extent permitted by law, the Provider will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or goodwill, arising out of or related to the Service.

Some jurisdictions do not allow certain limitations; in that case, limitations apply to the greatest extent permitted.


13) Changes to these Terms

The Provider may update these Terms from time to time. If changes are material, the Provider may provide notice within the Service.

Continued use after the effective date of updated Terms constitutes acceptance.


14) Governing law and venue

These Terms are governed by the laws of Ecuador, without regard to conflict of law principles. Any dispute will be submitted to the competent courts of Guayaquil, Ecuador, unless mandatory law provides otherwise.
